How to respond to a hotel group RFP with Claude
Group RFPs are time-sensitive. The Sales & Marketing skill drafts a tailored response to every RFP — Cvent, direct or brand — within 48 hours, checks availability with Revenue for displacement, and tracks win/loss so you learn why you lost.
What you need
- Claude (Claude.ai in your browser — the free tier works for short tests — or Claude Code) with the Sales & Marketing skill loaded
- The RFP itself (Cvent, Lanyon, email or brand)
- Your availability and Revenue's displacement view for the dates
- Banquet menus and signature spaces (from
07-fnb/)
Step by step
- Load the Sales & Marketing skill. In Claude.ai, create a Project and paste the Sales & Marketing SKILL.md into its instructions — or run
npx hotel-team-skills installonce and use Claude Code, which picks the right skill from your prompt. - Paste the RFP. Paste the RFP text. Positioning and voice come from
01-property-brief/and02-brand-and-voice/in the Knowledge Base — not from Claude's training data. - Ask for the response. Ask: “Respond to this corporate group RFP with availability and F&B options.”
- Sync with Revenue. Confirm availability and the rate floor against a displacement analysis from the Revenue Management skill before sending.
- Send and track. Review the draft, send it within 48 hours, and log the outcome — win/loss, root cause and the comp-set winner.
"Respond to this corporate group RFP with availability and F&B options."
What a good result covers
This is the workflow the Sales & Marketing skill follows, quoted from its SKILL.md:
RFP responses (Cvent, direct, brand)
For every RFP, produce a tailored response within 48 hours:
- Acknowledge the RFP and dates
- Confirm availability (sync with Revenue on displacement)
- Propose rate with floor logic
- F&B options (banquet menus, signature spaces)
- Total contribution math the planner cares about
- Differentiator (renovated rooms, walking distance to venue, dedicated event lead) Track win/loss per RFP, root cause, comp-set winner.

Review before you send. The output is a strong first draft, not a final answer. The skill asks for missing pieces before it writes, but you remain responsible for anything you send, sign, pay or publish.
