How to write a banquet event order (BEO) with Claude
A banquet event order is the single document the kitchen, banquet captain, AV and accounting all work from. The Food & Beverage skill builds one for every group or catering event — and keeps it on a timeline: distributed 14 days out, final tweaks 3 days out, recap with Sales the day after.
What you need
- Claude (Claude.ai in your browser — the free tier works for short tests — or Claude Code) with the Food & Beverage skill loaded
- Event details from Sales: title, date, time, room and expected guest count
- Menu choices and dietary requirements
- AV, set-up and billing instructions
Step by step
- Load the Food & Beverage skill. In Claude.ai, create a Project and paste the Food & Beverage SKILL.md into its instructions — or run
npx hotel-team-skills installonce and use Claude Code, which picks the right skill from your prompt. - Give it the event. Paste the event details from Sales. Outlets, menus and your BEO template come from
07-fnb/in the Knowledge Base. - Ask for the BEO. Ask: “Build the BEO for the Saturday-night banquet for 420.”
- Confirm the guarantee and billing. Check the final guarantee and its cutoff (72 hours is typical), the master account and deposits, and the service assignments.
- Distribute on the timeline. Get the pre-event checklist signed by the client, distribute the BEO 14 days before the event, make final tweaks 3 days before, and recap with Sales the day after.
"Build the BEO for the Saturday-night banquet for 420."
What a good result covers
This is the workflow the Food & Beverage skill follows, quoted from its SKILL.md:
BEOs (Banquet Event Orders)
For every group / catering event, build a BEO (banquet event order):
- Event title, date, time, room, set
- Final guarantee (guest count) — cutoff 72 hours typical
- Menu (food + bev + dietary substitutions)
- AV requirements
- Special requests (signage, room set, floral, name cards)
- Billing (master account, sponsor, BIB, deposits captured)
- Service assignments (captain, servers, bartenders)
- Pre-event checklist signed by client Distribute BEO 14 days before the event; final tweaks 3 days before; recap with sales the day after.

Review before you send. The output is a strong first draft, not a final answer. The skill asks for missing pieces before it writes, but you remain responsible for anything you send, sign, pay or publish.
